  Administrative Manager

  Reports To: Managing Director / General Manager

  Job Summary

  The Administrative Manager is responsible for planning, coordinating, and overseeing the organization’s daily administrative operations to ensure efficiency, compliance, and smooth business performance. The role includes supervising administrative staff, managing office resources, developing administrative policies, coordinating facilities, maintaining records, and supporting senior management in achieving organizational objectives.

  Key Responsibilities

  • Plan, organize, and oversee all administrative operations.
  • Develop, implement, and improve administrative policies and procedures.
  • Supervise and evaluate administrative staff, providing coaching and performance management.
  • Manage office facilities, equipment, and supplies to ensure efficient operations.
  • Prepare and monitor departmental budgets and control administrative expenses.
  • Coordinate meetings, company events, and executive schedules.
  • Maintain accurate organizational records, files, and documentation.
  • Ensure compliance with company policies, legal requirements, and health and safety regulations.
  • Manage vendor relationships, service contracts, and procurement of office supplies and equipment.
  • Oversee travel arrangements and logistics for management and staff.
  • Support recruitment, onboarding, and employee administrative processes in collaboration with Human Resources.
  • Prepare administrative reports, presentations, and correspondence for management.
  • Identify opportunities to improve operational efficiency through process improvements and technology.
  • Handle confidential information with professionalism and discretion.
  • Perform other duties as assigned by management.

  Qualifications

  • Bachelor’s degree in Business Administration, Public Administration, Management, or a related field.
  • Minimum of 3 years of administrative or office management experience, with at least 2 years in a supervisory role.
  • Strong knowledge of office administration, budgeting, procurement, and records management.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Excellent written and verbal communication skills.
  • Strong organizational, analytical, and problem-solving abilities.
  • Ability to manage multiple priorities in a fast-paced environment.

  Requirements
